Invoicing doesn't have to be a time-consuming task, thanks to Joy Pilot's innovative AI invoicing system. With a user-friendly interface and intelligent capabilities, our system streamlines the invoicing process, allowing you to create invoices quickly and efficiently. No need to manually input data - our AI system takes care of everything, from company details to dates and contact information. Let's get started on how to use this fantastic feature!

Steps to Create an Invoice with the AI System:

1: Access the AI Invoicing System:

  • Begin by locating the magic wand icon in the upper toolbar of the Joy Pilot interface. Click on this icon to access the AI invoicing system. This feature will work on any device that has a microphone.

2: Record Your Invoice Details:

  • Press the record button to start speaking. Clearly describe your invoice making sure you state the essential details including the company name you are invoicing, the number of hours worked (if applicable), and any specific dates related to the invoice. Remember, you don't need to specify 'today’s date' or 'last Friday's' date - the system already knows it!

  • If the individual or company you're invoicing is already saved in your contacts, just mention their name. The AI will automatically retrieve their address, contact name, and other relevant information for the invoice. If not, consider adjusting your contact accounts, in advance to create an even more efficient experience as this info will be used to automatically populate invoices.

3: Provide Additional Information (If Necessary):

  • In cases where the contact's information isn't saved in your system, provide the contacts name and our system will include this in the invoice. However, you will need to manually input the address and any reference numbers related to the invoice when reviewing the invoice if this information is required. If this information is saved within your contacts, by just providing the contacts name, all other information will automatically be input by our AI system.

4: Finish Recording:

  • After you've provided all the necessary information, end your recording.

5: Review Your Invoice:

  • Once recording is complete, the AI system will generate a draft invoice for you to review. Check to ensure all the details are correct and complete.

6: Finalise and Send:

  • Once you’re satisfied with the invoice, click the final button to complete the process. Your invoice is now ready to be sent to your client!
