Joy Pilot introduces a groundbreaking voice-activated accounting feature, allowing users to add, edit, and delete expenses using simple voice commands. This first-of-its-kind tool streamlines financial management, making it faster and more intuitive than ever before.

This feature is perfect for those moments when:

  • You need to check an expense and realise it was entered incorrectly or you forgot to enter it.

  • You’ve left a store or business and realised you forgot to pick up the receipt but can still recall the details.

  • You want a quick way to adjust expenses without manually navigating through records.

For times when you do have the receipt, another option is to use Joy Pilot’s Photo Capture feature, which extracts all the necessary information and automatically creates the expense for you.

Functions You Can Perform with Voice-Activated Expense Management

With voice commands, you can:

  • Add new expenses by speaking instead of typing.

  • Edit existing expenses, including date, amount, and description changes.

  • Delete expenses quickly and accurately.

  • Perform bulk updates (e.g., recoding multiple expenses at once).

Currently, voice commands are focused on expense management, with plans to expand functionality in the future.


How to Use Voice-Activated Accounting

Step 1: Open the Voice Assistant

  1. Navigate to the Expenses section in Joy Pilot.

  2. Click the Voice Activation button to open the assistant - we call her Jodie.

  3. Once the window opens, you can begin speaking naturally to interact with the system.

Step 2: Adding a New Expense

To record an expense using your voice:

  1. When the Voice Assistant is open say something along the lines of:

    • "Add an expense for [date] for [amount] for [description]."

    • Example: "Add an expense for March 15, 2025, for £25 for my mobile phone bill."

  2. The system will confirm the details before saving.

Step 3: Editing an Existing Expense

To modify an existing expense:

  1. Open the Voice Assistant.

  2. Say:

    • "Edit the expense from [date] for [description]."

    • Example: "Edit the expense from March 15, 2025, for my mobile phone bill."

  3. Request the changes:

    • "Change the amount from £25 to £35."

    • "Confirm the VAT rate."

  4. The system will update the record and refresh the page once the session ends.

Step 4: Deleting an Expense

To remove an expense:

  1. Open the Voice Assistant.

  2. Say:

    • "Delete the expense from [date] for [amount] for [description]."

    • Example: "Delete the expense from March 16, 2025, for $10 for fishing bait."

  3. The system will locate and confirm the deletion.

Step 5: Bulk Updating Expenses

For batch updates:

  1. Open the Voice Assistant.

  2. Say:

    • "List all expenses for [timeframe]."

    • Example: "Show all expenses from March 2025."

  3. Request the update:

    • "Recode all expenses to [category]."

    • Example: "Recode all to Travel & Subsistence."

  4. Confirm or adjust the changes as needed.


Limitations & Future Enhancements

Currently, the voice assistant does not support attaching receipt photos at the time of expense creation.

  • If you need to attach a receipt, you will have to go into Expenses after creating the expense, locate it, and manually add the receipt.

Ongoing improvements are being made to expand functionality, and we aim to enhance receipt management as part of future updates.
