Joy Pilot’s AI Receipt Capture tool makes managing your business expenses simple and efficient. Using advanced image recognition technology, you can upload receipts from anywhere—on your desktop or mobile device—and quickly turn them into accurate expense records. This guide walks you step-by-step through the process.
1. Accessing the AI Receipt Capture Tool
Joy Pilot provides quick, easy access to the receipt capture tool via the camera icon, which appears throughout the platform.
On mobile devices: Tap the camera icon and your device’s camera app will launch automatically.
On desktop devices: Clicking the camera icon presents two options:
Upload an existing receipt image from your device.
Use your webcam to capture the receipt live.
2. Uploading or Capturing a Receipt
Once you’ve selected your preferred method:
Upload or capture your receipt image.
The AI Receipt Capture Tool will immediately begin processing the receipt in the background.
You can upload multiple receipts at once if needed.
3. Viewing Receipt Status
After your receipts have been uploaded, they will appear in a list with their current processing status.
If the data is successfully recognised, the receipt will be automatically converted into an expense entry.
If there’s an issue (e.g. the receipt is unreadable or the date is outside your accounting period), it will be flagged for manual review.
4. Troubleshooting Upload Issues
If your receipt isn’t automatically added:
Click the "Show Uploads" link or follow the provided prompt to view more information.
Common issues include:
An expense date earlier than your active accounting period.
A low-quality or unclear receipt image.
From the upload details screen, you can:
Delete the problematic receipt.
Or click "Add Expense" to manually enter the details, using any data the AI managed to extract.
5. Editing an Expense After Capture
Once a receipt is successfully turned into an expense, you can review and make edits:
Click Edit next to the expense entry.
The original receipt image will be shown for reference.
You can adjust:
Expense description
Amount
Expense category
Relevant tax rate (e.g. VAT, GST, or similar)
Example: If the AI misclassifies a personal meal as a business meal, you can reassign it to the correct category.
6. Drag-and-Drop Uploads (Desktop Only)
For a faster experience on desktop:
Simply drag a receipt image file onto the Joy Pilot main screen.
The AI will begin processing the image just as it does with the other upload methods.
Tips for Better Accuracy
Always use clear, high-quality images. Blurry, dark, or low-resolution receipts may result in errors.
If a tax rate isn’t recognised, you can manually select the correct one during editing.
In most cases, Joy Pilot’s AI will correctly apply the appropriate tax rate based on the type of item and location.
Summary
Joy Pilot’s AI Receipt Capture Tool offers multiple easy ways to upload and process receipts, helping you stay on top of your expenses. Whether you use the camera icon, drag-and-drop, or manual upload, receipt capturing has never been faster or more seamless.
